A Graphics Operator is responsible for ensuring that the PowerPoint and keynote content looks its best and plays at the correct time during your event. Key duties of the graphics operator include: 

  • Running the PowerPoint and keynote content during the event
  • Editing the content, including correcting aspect ratios and formats to present it on the screen
  • Creating custom content such as graphs and graphics
  • Organizing content from multiple sources
  • Preparing content in the correct queue order from the content management system
  • Supporting the V1 and V2 video engineers as needed

The graphics manager/operator can typically be found backstage or in the speaker ready room to assist the presenters with any final changes to their content before they hit the stage.

Whether or not you need a graphics operator will depend on the complexity of your event. Your video engineer is going to get very quickly inundated if there are too many sources to switch from. If your event consists of multiple presenters over multiple days with a large volume of content to play, it is a good idea to hire a graphics manager in addition to a video engineer to ensure that all the presentations look good and are queued up to run smoothly on the day of the event. It will make for a much less stressful experience for your event staff and will reduce the chances of mistakes on the event day.

WHAT’S THE DIFFERENCE BETWEEN PLAYBACK AND GRAPHICS?

Playback and graphics are both terms associated with visual content that is displayed on machines. Playback devices are only playing video content, whereas graphics devices play all other presentation content and static slides. By dedicating a separate device to video content you can reduce load times for high-resolution video content and queue it up easily.
